Exhibitor Policy and Code of Behavior at the FMEC Annual Meeting The FMEC welcomes organizations, health systems, and companies that want to engage with the participants at the FMEC Annual Meeting. With more than 250 family physicians, 200 family medicine residents, and 300 medical students, the FMEC Annual Meeting provides a valuable opportunity for exhibitors to gain visibility and communicate directly with the Family Medicine community from the northeast region of the U.S. Our Annual Meeting serves the family medicine community in the northeast region that includes a 14-state area; Ohio to Maine to Virginia/West Virginia and D.C. There are more than 200 residency programs and 60 medical school-based Departments of Family Medicine in this geographic area. Representatives of organizations with an interest in family medicine and/or primary care should attend the meeting (e.g. AHECs, insurance companies, major employers, government organizations, etc.). The FMEC may deny installation privileges or require the removal of any exhibit or promotion (wholly or in part) that the FMEC finds objectionable. No exhibit will be accepted if the FMEC determines the exhibit is in poor taste, offensive to persons in attendance, promotes an activity that is unethical or illegal, or in general, is not in keeping with the character and purpose of the FMEC Annual Meeting. The FMEC reserves the right to reject, at any time, any exhibitor agreement to exhibit for any reason. The FMEC may deny installation privileges or require the removal of any exhibit or promotion (wholly or in part) that the FMEC finds objectionable for the reasons stated above. The only appropriate and acceptable venue for the distribution of advertising or marketing materials is the exhibitor’s booth in the exhibit area. Exhibitors may not, for example, distribute marketing materials in other areas of the meeting facility (e.g., flyers or door drops or non-FMEC approved signage). Exhibit booths may provide educational materials (handouts) to conference participants. These materials should be evidence-based and scientific in nature. In addition, modest trinkets or giveaways such as pens, hand sanitizers and small candies are acceptable, however we discourage exhibitors from handing out items which are large or very valuable, or any items that may cause a nuisance by being loud or difficult to clean up. The FMEC will review hand-out materials offered by each exhibitor at the meeting. If an exhibitor’s materials are not acceptable (i.e. not evidence-based) the exhibitor would be informed that they need to withdraw the materials from their exhibit. If an exhibitor refuses to withdraw the unacceptable materials, they will be told to leave the meeting. The funds paid to the FMEC for the exhibitor booth will not be refunded. Exhibitors receive badges for two (2) company representatives, which allow two individuals to attend the Annual Meeting including the educational sessions and meal events. All badges are personal and cannot be shared. Exhibitors are prohibited from distributing advertising or marketing materials during educational sessions and in session rooms, as noted above, and are prohibited from promoting their company or products through participation (comments, questions) during the educational session. If an exhibitor uses participation in an educational session to promote their company or products, they will be told to leave the meeting. The funds paid to the FMEC for the exhibitor booth will not be refunded. The FMEC will not be responsible for any expenses incurred by the exhibitor related to attending the FMEC Annual Meeting (i.e. travel expenses, meals, etc). |
