COVID Protocol
We are working hard to ensure the safety of all attendees and staff. The following policies are in an effort to do so. 
We reserve the right to make changes as needed.

  • Proof of vaccination at the meeting is required.  Please bring your vaccination card. 
  • If someone is not vaccinated they will not be allowed to participate in the meeting.
  • A negative COVID test will not be accepted. 
  • A decision requiring masks will be made closer to the event.
  • We are working with the hotel staff to spread out the various events so that physical distancing is evident.
  • We will spread out the residency fair activity to allow social distancing. 

Registration Policy
By registering for an FMEC event, I understand that the FMEC has the right to include my contact information listed on this registration form in their promotional materials for this meeting, and include any photographs and videos taken during the meeting. If you do not want your image to be used in promotional materials please contact [email protected].

Eligibility to Attend the FMEC Annual Meeting: 

  • Faculty working for an academic institution, academic affiliated training program or health system
  • Family Physicians or other clinicians working in a community-based family medicine practice
  • Family Medicine residents or fellows working for an academic institution, academic affiliated program or health system
  • Non-physician representatives of primary care advocacy organizations, for example, the AAFP, state academy chapters, etc.
  • Medical Students from an approved medical school, years 1-4
  • Medical students who graduated from an approved medical school in the current calendar year but were not match eligible AND were selected by their school to attend
  • Guests, presenters, or speakers approved by the FMEC Board
  • High school and college students who are either members of the Health Professions Affinity Community or who have been invited and approved by the FMEC Board 
Eligibility to Attend the Residency Fair
  • Faculty working for an academic institution, academic affiliated training program or health system
  • Family Physicians or other clinicians working in a community-based family medicine practice with affiliations to teaching programs
  • Family Medicine residents or fellows working for an academic institution, academic affiliated program or health system
  • Medical Students from approved medical school years 1-4 or who have graduated in the current calendar year but were not match eligible at the most recent match and were selected by their school to attend. 
  • "Off-cycle graduates” who are nominated by their medical school are eligible for scholarships to attend the annual FMEC.
PLEASE NOTE: 
  • All invited presenters who are not faculty, residents, or medical students from approved schools are eligible to attend the workshops, seminar, research, paper and poster sessions from 7:00 am to 5:00 pm only. 
  • The Residency Fair is an opportunity for active Medical Students to meet Residency Programs in the NE Region of the US. 
  • The Residency Fair is not an opportunity for recent or remote medical students or graduates from non-approved schools, research assistants, or other professionals to meet United States Residency Programs. 
  • For those medical students or graduates from non-approved schools, remote medical school graduates, research assistants, or other paraprofessionals, please contact your school’s placement office for assistance.
Cancellation Policy - Updated for individual registrations ONLY
At this time the FMEC plans to hold the 2021 FMEC Annual Meeting and will be held October 8-10, 2021.
  • Individuals who submit a written cancellation by October 1, 2021, will receive a full refund minus $50 administrative fees.
Cancellation Policy - Residency Fair Booth and Exhibit Hall Booth
The FMEC must receive written notice of cancellation by October 1, 2021, to obtain a partial refund. Requests for full cancellations will be refunded, less a $50 administrative fee. Cancellations after October 1, 2021, are not eligible for a refund. No-shows are also not eligible for a refund.

The FMEC is not responsible for monies registrants may have spent on penalty or non-refundable airline tickets or hotel deposits in the event this course is canceled or sold out. Before purchasing your airline ticket, make sure that you have received your event registration and hotel confirmation.

Exhibitor Policy and Code of Behavior at the FMEC Annual Meeting
The FMEC welcomes organizations, health systems, and companies that want to engage with the participants at the FMEC Annual Meeting. With 250 Family Physicians, 200 Family Medicine Residents and 300 medical students, the FMEC Annual Meeting provide a valuable opportunity for exhibitors to gain visibility and communicate directly with the Family Medicine community from the northeast region of the U.S.

Our Annual Meeting serves the Family Medicine community in the northeast region that includes a 14 state area; Ohio to Maine to Virginia/West Virginia and D.C. There are more than 160 residency programs and 60 medical school-based Departments of Family Medicine in this geographic area.  Representatives of organizations with an interest in Family Medicine and/or primary care should attend the meeting (e.g. AHECs, insurance companies, major employers, government organizations, etc.).

Exhibit booths may provide educational materials (handouts) to conference participants. These materials should be evidence-based and scientific in nature. They must be from peer-reviewed scientific journals.  The FMEC may deny installation privileges or require removal of any exhibit or promotion (wholly or in part) that the FMEC finds objectionable.  No exhibit will be accepted if the FMEC determines the exhibit is in poor taste, offensive to persons in attendance promotes an activity that is unethical or illegal or in general, is not in keeping with the character and purpose of the FMEC Annual Meeting. The FMEC reserves the right to reject, at any time, any exhibitor agreement to exhibit for any reason. The FMEC may deny installation privileges or require removal of any exhibit or promotion (wholly or in part) that the FMEC finds objectionable for the reasons stated above.  Exhibitors are not allowed to participate in academic presentations without the specific permission of the FMEC Board.  The FMEC will review hand out materials offered by each exhibitor at the meeting. If an exhibitor’s materials are not acceptable (i.e. not based on literature in peer-reviewed journals) the exhibitor would be informed that they need to withdraw the materials from their exhibit. If an exhibitor refuses to withdraw the unacceptable materials they will be told to leave the meeting. The funds paid to the FMEC for the exhibitor booth will not be refunded.

The FMEC will not be responsible for any expenses incurred by the exhibitor related to attending the FMEC Annual Meeting (i.e. travel expenses, meals, etc).
